CONDITIONS SPECIFIC TO YOUR TOUR OR SERVICE
The inclusions and exclusions specific to your trip are sent to you by email upon reservations. They can vary from one circuit to another although certain conditions are general.
Private tours and excursions have varying conditions, inclusions and exclusions depending on the agreements made when reserving your services.
CURRENCIES
All of our prices are in US dollars and are subject to change due to increases in the cost of living in the countries visited and increases in costs from Insightful Travel suppliers
CONSULTATIONS
Our consultation fees (in person or online) are non-refundable nor transferable
DEPOSIT AND PAYMENT
Insightful Travel accepts cash payments, bank transfers, credit cards (when possible fee applicable) and PayPal payments.
- A deposit of $ 1,250.00 $ and the signature of the REGISTRATION and ACCEPTATION OF CONDITIONS OF PARTICIPATION FORMS (paper or electronic format), are required to confirm the registration of a traveler for any tour. This deposit is not refundable nor transferable, except in case of cancellation of the departure by Insightful Travel due to a lack of participant
- For private tours and services, the reservation deposit is 50%. This deposit is not refundable or transferable.
- Insightful Travel offers an individual discount of 3% on booking if paid in full in a single payment (or two payment according to situation) in cash or by bank transfer.
- A discount of $ 125.00 is applicable on reservations made 120 days or more before the departure date.
- Each payment/balance is payable on the dates indicated on your reservation documents. Late payments are subject to a fee of $ 75.00 each, for administration
- Private groups and services, payments made in two installments will be chargeable by $ 75.00 per installment to cover the administrative
- For groups and private services, the prices offered in the consultation quotes are valid for 5 working days following the submission of the proposal. Thereafter, they may be subject to
TERMS OF CANCELATION
- The client agrees to pay the final payment, for his tour and extensionson the date indicated on his documents. If the date on the clients bill is different than the one on the promotion, the date indicated on the promotion will prevail. The tour becomes 100% non refundable nor transferable.
- Any late payment will incur an additional charge of $ 75.00 for administrative fees.
- In case of non-payment of the balance on the indicated date, Insightful Travel reserves the right to cancel the registration of a client for a trip. Any amount of money already paid becomes 100% non refundable nor transferable.
- Insightful Travel agrees to reimburse all sums paid for the land portions on the group circuits, in the event of the cancellation of the departure by Insightful Travel caused by a lack of participants.
- Insightful Travel discales any responsibility and will not refund nor give transferable credit in any case of cancellation at the request of the traveler, for whatever reason, including political instability, acts of terrorism or natural disasters, or any other reasons of a personal nature including refusal of a visa.
PRICE MODIFICATION
Insightful Travel packages are booked many months or even up to a year in advance. Thus, changes beyond Insightful Travel’s control may occur (fuel surcharge or increases in the price of services at destination). In order to offer the best quality of service, Insightful Travel reserves the right to modify any portion of the tour or services provided. The client accepts this increase, to the maximum of which is set at 7%. If the rise exceeds 7%, the client then chooses to maintain its participation or to obtain a refund.
OTHER CONDITIONS AND RESPONSIBILITY
- Insightful Travel does not sell airline tickets.
- Insightful Travel does not undertake visa procedures.
- If, Insightful Travel accommodates the customers by subcontracting a sale of plane ticket for a domestic flight during a portion of a tour, the customer remains responsible for knowing the conditions applying to it and releases Insightful Travel for any responsibility in this regard for any reason whatsoever.
- Insightful Travel works as an agent and uses the services of third parties (hotels, drivers, guides, transport…) and assumes no responsibility for: delays, loss or damage of personal property, injury, accident, death, discomfort, loss of enjoyment, upset, disappointment or emotional distress resulting from one of the following situation: unjustifiable action or negligence or omission on the part of any service provider wether it be illness, theft, labor dispute, mechanical breakdown, quarantine, bankruptcy, war, government constraints, border closure, bad weather conditions or natural disasters, possible closing or poor condition of access roads or any other mishaps beyond its control, late arrival of the traveler at the airport on the day of departure or at the various meetings during the tour, whatever the reason.
- Insightful Travel also disclaims any form of responsibility relating to the appreciation of a tour by the traveler. Our tour guides and any other representative act in good faith and do not claim to be a substitute for any source of information published on the destination. The role of our guides and representatives is to see to the smooth progression of the circuit, to manage the services, to supervise the group and to assist if necessary. They advise, can guide certain observations and share their love of the country visited and its people while offering to share any information that he has acquired to the best of his knowledge.
- Insightful Travel disclaims all responsibility in the case of a traveler who has missed his flight to destination. Insightful Travel will provide the reserved travel services if the traveler catches up with the group by his own means and at his expense. No partial or full refund is applicable in these cases. Transfers, hotels, meals and any other service that the traveler may have to use are entirely the responsibility of the traveler.
- Insightful Travel, its representatives, accompanying guide and tour leaders are assigned to the group and ensure the logistic for the duration of the circuit. Insightful Travel works as a receptive and therefore provides services at destination (there is no accompaniment from or to abroad).
- In the event of hospitalization, it is understood that the AG or tour leader will provide assistance to the best of their ability without neglecting the group. The group prevails. It is understood by the client that the AG or tour leader or any other representative of Insightful Travel will not: advance money, muse their own credit card nor stay with the person experiencing health problems wether in the hospital, clinic or where ever it could take place. Embassies, consulate, family and insurance can be contacted to support the person in need. The traveler may have to take responsibility, in part or in whole, for the required procedures. The traveler understand its responsibility to manage its own situation.
- Insightful Travel disclaims all responsibility for a traveller’s decision to modify their trip or to withdraw from the group at any time and for any reason.
- In case of room sharing: if the person with whom the room sharing is planned cancel their trip, the person who wish to participate in the trip will have to assume the additional cost of single occupancy.
EXPULSION – PREMATURE RETURN OR WITHDRAWAL
- Whatever the circumstances of a premature return (illness, free decision, etc.), the unfinished portion of the trip is not refundable nor transferable.
- If the client decides to withdraw from the group permanently or for a temporary period, or if he decides to change his itinerary, all costs (accommodation, transport, food, etc.) will be at the expense of the traveler and the portion at which he will not have participated will not be refundable nor transferable.
- Insightful Travel reserves the right to refuse to sell a trip or service to a client at its discretion. If the reservation has already been made, the responsibility of Insightful Travel is limited to reimbursing the sums paid by the client.
- Insightful Travel also reserves the right to expel a client for conduct harmful to the tour leader, people in the group, representative of Insightful Travel, service providers or people of the country visited. Any additional costs (transport, accommodation, food, etc.) arising then would be at his expense and no reimbursement/or costs/or damage of any kind whatsoever will be made by Insightful Travel.
- THE TRAVELER IS RESPONSIBLE TO:
- Revise all travel documents and report any inconsistencies or errors within 5 working days of receiving them.
- Provide all the required information to Insightful Travel: name as it appears on the passport, copies of passport, plane ticket and insurance company contact and informations (required for reservations and in case of medical-insurance support needs).
- Buy international flights and make sure to arrive at destination in accordance with the tour start date shown on the documents received. The client must send a copy of his plane ticket to Insightful Travel on the date which will be indicated to him/her/it in order to facilitate follow-ups at destination.
- Confirm flights at least 48 hours in advance and notify Insightful Travel for any change, Insightful Travel is not responsible for schedule changes for which it has not been notified. The organization and the costs of airport-hotel transfers would then be the responsibility of the traveler. A group transfer per circuit is included in the package. Individual arrivals and departures are at the traveller’s expense.
- Check in at the required time at the airport (minimum 3 hours before flight time) and, 2 hours for domestic flights.
- Assume the organization and transfer costs from airport to hotel on arrival for any delay exceeding 1.5 hours
- Obtain, at it’s own expense, any document required by the competent government authorities: passport valid at the time of departure and 6 months after the schedule return date, visa, affidavit (notarized letter for any minor traveling with a single parent) and any other document that the destination may require.
- Consult a vaccination center at least 4 months before departure to obtain adequate information
- To have the capacity to make the trip in an autonomous way without the physical or psychological assistance of the tour leader. To have its medication for the entire duration of the trip and for an additional 2 weeks to cover any eventuality. To have a personal emergency medical kit. A medical consultation is essential before any departur
- All travelers must indicate any handicap and/or allergy when reserving.
- Some countries, hotels, transportation and site do not have the infrastructure or equipment to meet specific needs. Insightful Travel reserves the right to refuse a trip to a person who will not be able to complete it in an autonomous manner.
- Insightful Travel has no control over the services provided by the suppliers and cannot guarantee the absence of allergens.
- Have a medical certificate attesting to its kinetosis state (motion sickness), to justify the specific occupation of a particular seat in a transport. Motion sickness is a real and diagnosable medical condition. Merely saying you have it, it does not justify the condition and does not qualify to reserve a specific seat. Road transport involves seat rotation for all travelers without exception.
MANDATORY
- Have full insurance (cancellation, interruption, medical, repatriation) and it is highly recommended to have cover against the risk of accidents, illness, property damage, loss of luggage, cancellation of air flight or any other potential inconvenience. Insightful Travel disclaims all responsibility in this regard. A traveler who would not provide a copy of insurance coverage at the date indicated in the documents will be denied the right to attend the tour or service. The tour or service is then 100% refundable nor transferable
- Provide an official, notarized letter for minor traveling with a single parent. Insightful Travel currently does not accept minors traveling alone. Consult the government website of your country for the conditions and letter formats.
- Have 2 major credit cards in addition to cash for your personal purchases and expenses. A single credit card, like the lack of cash, is often a problem abroad.
